Terms and Conditions

1. SB Tutoring tuition is carried out by Professional tutor Sarah Brouner.

Sessions are typically 45mins or 1 Hour (shorter or longer sessions available on request); sessions are charged pro rata of hourly rata.

 

2. Workshops prices and max students vary and will be charged as advertised.

Any marking that is done by SB Tutoring and goes towards grading evidence (to school or an exam board) will be charged pro rata of the hourly rate for that level. E.g. GCSE marking is charged at £70/Hr pro rata.

3. Bank transfers is the preferred method of payment, but cash and PayPal are also accepted. Payments to be made within 48 hrs. after the session (or immediately after session if cash) or invoiced at the end of the month. Payment type to be agreed prior to tuition.

​

4. If you need to cancel a session, this needs to be done with at least 24 hours notice where possible; The tutor will also give at least 24 hours notice if possible. If the client has already paid for a session, this will be carried over to the next session (one to one). Please see SB Tutoring’s cancellation policy for explicit details. Refunds will not be given for any missed pre paid group tuition sessions, as recordings and resources are sent in the event of non attendance. 

 

​5. If less than 24 hours notice is given for a cancellation or rescheduling a session, full rate for the planned session will be charged, in line with SB Tutoring’s cancellation policy. 

​

6. If a student fails to show up for a session, the session will also be charged at full price for the session planned. If 30mins has passed, and the student has still not arrived for the session, the session will be cancelled and the full tuition fee of the session will apply, in line with SB Tutoring’s cancellation policy.​

​

7. If a session is not paid for, then the next tuition session will not take place, until payment is made. Payments may be requested in advance of sessions should this occur.​

​

8.If the student or parent requests a longer session (this can be arranged prior to or during a session); then the relevant additional payment will need to be paid within 24hrs.

 

9. Sessions longer or shorter than 1Hr will be charged at Pro Rata.

Skype, Zoom, IMO or FaceTime can be used as an alternative to travelling to your home (either planned or in the event of either party not being able to travel e.g. severe weather). This will be arranged prior to the session taking place and cost is the same as face-to-face sessions, in accordance with SB Tutoring’s severe weather policy.

 

​10. Safeguarding (see SB Tutoring’s Safeguarding policy for further information).

 

11. A valid, enhanced DBS check will be held by the tutor. Both the tutor and student should wear appropriate clothing during both face to face and online sessions (no dressing gowns or nightwear).

 

12. Tuition should take place ideally in a communal area, with doors open (no bedrooms).

 

13.If online, sessions will be recorded at the parents request (Zoom Online tuition), as outlined in the The Tutor Association’s (TTA’s) Code of Practice . The session will be saved for the duration of the tuition contract, and is available to students and parents (client) if requested. Parents can also remain in the same room as tuition takes place, if they wish to. Recordings will only be kept on file for the duration of the tutorage, and will be permanently deleted 48Hrs after the final session takes place. 

 

14. The Tutor adheres to the Safeguarding Code of Practice outlined by the TTA, will undertake annual Safeguarding CPD and annual review and update SB Tutoring’s safeguarding policy.

CANCELLATION POLICY

Cancellation and Lateness Policy (Including Adverse Weather)

 

This cancellation policy is applicable to all sessions held through SB Tutoring, including one to one, group, adhoc and workshop, online and face to face tuition sessions. 

 

By continuing tuition with SB Tutoring  you are accepting and adhering to this policy.

​

 If you need to cancel a session, this must be done with at least 24 hours notice; SB Tutoring will also give at least 24 hours notice, if possible. 

In the event of less than 24 hours notice due to sudden onset of illness, it will be SB Tutoring’s discretion as to the fee charged to the client. The full cost of the session maybe incurred. If you have already paid for a session, this will be carried over to the next session (one to one tuition only). Refunds will not be given for any missed pre paid group tuition sessions, as recordings and resources are sent in the event of non attendance. 

 

 If less than 24 hours notice is given for a cancellation or a reschedule of a tuition session, a charge will be incurred of 1 hours tuition fee.

 

If you have paid for a session in advance, and less than 24hours notice is given, then the full fee of the session will be deducted from you advanced payment. 

 

If you have paid for a session in advance, and more than 24 hours notice is given, the cost of your session can be used towards a future session, or you may request a refund (one to one tuition only).

 

 If a student fails to show up for a session, the session will also be charged at full price for the session planned. If 30mins has passed, and the student has still not arrived for the session, the session will be cancelled, and the full tuition fee of the session will apply.

 

 If a student arrives to a lesson late (in person or online), the lesson will finish at the original planned time, which the agreed full fee being charged. 

 

 In the advent of adverse weather (e.g. snow) the following alternatives will be arranged with the client to avoid cancellations:

 

  • Change of location. Usually tuition is held at your home or at a suitable arranged place, but I can travel to an alternative. E.g. Café or Library.

  • Skype, Zoom, IMO or Facetime.  Online Tuition has proved effective with students, and it is easy to share resources.  I can e-mail you resources ahead of the session, so the student can prepare. 

  • Telephone.  It is possible to teach via telephone, although it is not the best method. I would be able to e-mail you resources needed, and then to conduct the session over the telephone.

​

 

There are various possibilities to avoid cancellation in the event of snow or other bad weather conditions.  The usual cancellation policy will therefore continue to apply in case of such weather.

SAFEGUARDING POLICY (including ONLINE SAFETY)

​​

The purpose of this policy statement is: 

  • to protect children and young people who receive SB Tutoring’s services from harm. This includes the children of adults who use our services, online and face to face.

  • to provide staff and volunteers, as well as children and young people and their families, with the overarching principles that guide our approach to child protection. 

​

This policy applies to anyone working on behalf of SB Tutoring, including parents (clients) and students.

 

Legal Framework

This policy has been drawn up on the basis of legislation, policy and guidance that seeks to protect children in England. A summary of the key legislation and guidance is available from nspcc.org.uk/childprotection.

SB Tutoring believes that:

  • children and young people should never experience abuse of any kind 

  • we have a responsibility to promote the welfare of all children and young people, to keep them safe and to practise in a way that protects them. 

 

SB Tutoring recognises that:

 

  • the welfare of children is paramount in all the work we do and in all the decisions we take 

  • working in partnership with children, young people, their parents, carers and other agencies is essential in promoting young people’s welfare 

  • all children, regardless of age, disability, gender reassignment, race, religion or belief, sex, or sexual orientation have an equal right to protection from all types of harm or abuse 

  • some children are additionally vulnerable because of the impact of previous experiences, their level of dependency, communication needs or other issues.

  • extra safeguards may be needed to keep children who are additionally vulnerable safe from abuse. 

 

SB Tutoring seeks to keep children and young people safe by:

 

  • valuing, listening to and respecting them.

  • adopting child protection and safeguarding best practice through our policies, procedures and code of conduct for staff and volunteers.

  • developing and implementing an effective online safety policy and related procedures.

  • providing effective management for staff and volunteers through supervision, support, training and quality assurance measures so that all staff and volunteers know about and follow our policies, procedures and behaviour codes confidently and competently.

  • recruiting and selecting staff and volunteers safely, ensuring all necessary checks are made. 

  • recording and storing and using information professionally and securely, in line with data protection legislation and guidance (Information Commissioner’s Office). 

  • sharing information about safeguarding and good practice with children and their families via leaflets, posters, group work and one-to-one discussions.

  • making sure that children, young people and their families know where to go for help if they have a concern. 

  • using our safeguarding and child protection procedures to share concerns and relevant information with agencies who need to know, and involving children, young people, parents, families and carers appropriately. 

  • using our procedures to manage any allegations against staff and volunteers appropriately. 

  • ensuring that we provide a safe physical environment for our children, young people, staff and volunteers, by applying health and safety measures in accordance with the law and regulatory guidance. 

  • building a safeguarding culture where staff and volunteers, children, young people and their families, treat each other with respect and are comfortable about sharing concerns. 

 

Online Safety Policy

This policy outlines the expectations, responsibilities, and measures to be followed by tutors and students to ensure online safety.

Responsible Use of Technology 

Appropriate Use: 

Tutors and students must use technology and online resources solely for educational purposes during tutoring sessions. Any unauthorised or inappropriate use, such as accessing inappropriate content, sharing personal information, or engaging in cyberbullying, is strictly prohibited. 

Privacy and Confidentiality: 

Tutors must respect the privacy and confidentiality of students. Personal information shared during tutoring sessions, including contact details and academic records, should be securely stored and only used for educational purposes. Students' personal information must not be shared with unauthorised individuals or third parties.

Data Protection: 

Tutors must comply with data protection laws and regulations, including the General Data Protection Regulation (GDPR), when handling and storing students' personal data. Adequate measures should be taken to ensure the security and confidentiality of any personal data collected during the tutoring sessions.

Online Communication 

Professional Conduct: 

Tutors must maintain a professional and respectful tone in all online communication with students and their parents/guardians.

Communication Channels: 

Tutors and students should utilise designated communication channels approved by parents/guardians, such as secure online platforms or email, for any necessary discussions or exchange of information. Personal social media accounts should not be used for educational purposes.

Parental/Guardian Involvement: 

Tutors should encourage open communication with parents/guardians to keep them informed about the progress and well-being of the student. Regular updates and feedback should be provided through appropriate channels. 

 

Online Safety Measures 

Secure Platforms: 

Tutors should use secure and reputable online platforms for conducting tutoring sessions. These platforms should have appropriate security measures in place to protect against unauthorised access and ensure the privacy of the participants. 

Device Security: 

Tutors and students are responsible for maintaining the security of their devices by using up-to-date antivirus software, firewall protection, and regular software updates. 

 

Reporting and Response 

Reporting Incidents: 

Tutors should promptly report any suspected or observed violations of this online safety policy to the appropriate authorities, such as parents/guardians, or the appropriate online platform administrators. 

Incident Response: 

In the event of a reported incident, tutors should cooperate fully in any investigations or actions taken to address the situation, ensuring the safety and well-being of all parties involved.

To communicate with students, parents/guardians, tutors, teachers (where applicable) and clients regarding tuition sessions, scheduling, updates, feedback, and employment agency introductions (where applicable).To monitor student progress and academic performance, and provide feedback and support as necessary.

To comply with legal and regulatory requirements, including record-keeping, reporting, safeguarding obligations, local authorities for home education, and employment agency regulations.

To improve our tuition services, develop new programs, enhance the overall learning experience, and facilitate successful tutor-client introductions, where applicable.

Parents/Guardians: We may share student information with parents/guardians to provide updates, feedback, and progress reports.

Schools: We may share information relating to students with schools and their teachers, either where the school is our client and has contracted for us to deliver tuition services to one or more of their students, or where a Parent/Guardian for the student has given us their consent, in writing, to share information with the student’s school.

Regulatory Authorities: We may disclose information to regulatory authorities or law enforcement agencies as required by law or to protect our legal rights.We do not sell or rent personal information to third parties for marketing purposes.

 

Data Retention

We retain personal information for as long as necessary to fulfil the purposes for which it was collected, including any legal, accounting, or reporting requirements. Data will be retained for the miumium of the tuition period.
